Donation Policy

Terms of Acceptance

Donated Monographs (up to 10 items)

  • Donated materials that are accepted by the Effat University Library & Cultural Museum becomes the absolute and unconditional property of the Library and cannot be returned to the donor for any reason.
  • Once the Library takes possession of an item, the Library is free to make all decisions in accordance with its established policies and procedures with respect to the retention, storage, processing, use, and disposition of that item.
  • Donated materials may be acknowledged through a note added to the Library catalogue record.

Donated Collection/Library (more than 10 items)

  • Donors are required to provide a list of donated materials for Effat University Provost Office, President Office, then to the University Council for approval.
  • Donated materials that are accepted by Effat University Council becomes the absolute and unconditional property of Effat Library.
  • Donated materials may be acknowledged through a note added to the Library catalogue record as well as stamped on the title page.
  • Donated materials would be shelved within the Library usual collection.

IN-SCOPE MATERIALS

Effat University Library will consider accepting donations that:

  • Fall within the scope of the library's collection and align with the University’s teaching, learning and research areas.
  • Are in good physical condition.
  • Do not duplicate materials already held.
  • Are of unique and significant value to the collection.

OUT-OF-SCOPE MATERIALS

Effat University Library respectfully maintains the right to refuse any gift or part of a gift. Factors which may prevent the Library from accepting items include:

  • Cultural, political, and religious sensitivity.
  • Outdated newspapers, magazines or journals.
  • Materials requiring technologies which the Library no longer supports (e.g. audiocassettes, VHS tapes) audio and video cassettes or VHS tapes.
  • Obsolete encyclopedias.
  • Condensed books or Reader’s Digest.
  • Books that have been damaged or altered.
  • Photocopies or other reproductions/reprints.
  • Superseded titles or editions.
  • Computer software.
  • Censored books or periodicals.

Library Limitations

In some cases, donated library materials may not be accepted for the following reasons:

  • Duplication of copies.
  • Space restrictions.
  • Equipment constraints.
  • Expense of repair.
  • Binding and processing.
